Background:

In this Agreement, unless the context otherwise requires, the following words shall have the following meanings:

• 'BDO' the BDO office your employer has contracted with via a signed engagement letter.
• 'Client' means your employer with whom BDO has a signed engagement letter with.

What data do we collect about you?

You are giving consent for us to obtain, store and process personal data about you once you accept this privacy policy in the portal and the mobile phone app (if used).

The following data is collected:

• Personal data
• First name
• Last name
• Email
• Employment type
• Business unit
• Cost centre
• Nationality
• Second nationality
• Third nationality
• Tax residency state
• Current home country
• State
• Permanent home country
• Customer ID
• Passport expiry date
• Second passport expiry date
• Current location (if GPS is enabled)
• Travel data such as dates of trips, location, Visa and Immigration status

In order to monitor use and access to this site a log will be maintained of all access to the site. This is to enable a full audit trail of all use of the site and changes to the data provided on the site to be available in order to safeguard the integrity and security of the site. IP addresses of visitors are logged for administration and trouble-shooting purposes. The IP address indicates the location of your computer on the Internet. IP addresses will be used to track sessions.

Data is only kept for the period specified in the relevant engagement letter.

How will we use the data about you?

• The data you supply will trigger an advice alert relating to your tax or immigration status.
• BDO will regularly review all alerts triggered on the data stored in the application.
• Based on the review of your alerts BDO may provide further advisory services subject to the terms and conditions of the BDO Engagement Letter

Transfer of Personal Data outside the European Economic Area

• Within the European Economic Area (EEA), European Directives lay down the minimum rights and freedoms that must be given to individuals in respect of information about them.  The law restricts the ability of those in possession of personal data to transfer it to countries or territories that do not provide the same level of legal protection.
• The professional services that we are undertaking on your behalf may require us to provide personal data about you to third parties including, but not limited to:
  • The US Internal Revenue Service and certain US state tax authorities in order to gain an extension of time to file your return(s)
  • Member firms of BDO International
• We may also be asked from time to time by you to post documents containing personal information (such as your signed tax return) to countries or territories outside the EEA. If such country or territory does not provide an equivalent level of legal protection to that provided within the EEA, we will take your instructions as consent to sending this information outside the EEA.

Using this site

Specific procedures have been adopted by BDO to ensure that only authorised personnel of the Client are able to approve data placed on this site and to access data provided to BDO through this site. Only authorised members of the Client’s staff may access the site. As a user of the portal or mobile phone app you will not permit any third party to have access without our prior written approval. BDO accepts no liability in respect of any breach in security or confidentiality or loss or other damage arising from your failure to implement appropriate safeguards over access to this site. 


The content of this site is intended to provide general assistance as part of the professional services provided to the Client by BDO pursuant to the relevant engagement letter. BDO accepts no liability for any loss arising as result of any action taken or refrained from as a result of data contained on this site except to the Client and then only the extent explicitly stated in the terms of the engagement letter with the Client. In particular, BDO accepts no liability to any third party for any loss arising as result of any action taken or refrained from as a result of data contained on this site.

Marketing

You are giving consent that we may use the personal data we hold about you to contact you from time to time by post, fax, e-mail or telephone to bring to your attention additional products or services (including those provided by associated BDO entities) which we consider may be of benefit to you.

If you wish to unsubscribe from communications sent by BDO, you may do so at any time by emailing enquires@bdoquicktrip.com with the subject ‘Marketing Opt Out’.

Access to your data and correction

You have the right to ask to review any personal data we hold about you and ask us to amend any inaccurate personal data about you. You can do this by contacting your relevant BDO contact.

We may charge an administration fee of £10 in relation to any requests for access to personal data. 


BDO is registered on the Data Protection Register, registration number Z8308444.

Provision of data to third parties

Data will only be provided to third parties where it is required in connection with the provision of services to the Client, or as otherwise specified in the relevant engagement letter (for example where required by law or regulation). 


Data is not provided to third parties for their own marketing purposes and mailings are not undertaken by BDO for third parties.

Cookies

Cookies are used on this site. A cookie is a piece of software that is designed to improve a visitor's navigational experience by creating visitor specific data. Cookies are used to:

• Manage the site.
